Gardenia House Management ("Company," "we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect through gardeniamgmt.com (the "Site"), how we use it, who we share it with, and the choices available to you.

- Information you provide directly — such as your name, email address, phone number, and message content when you fill out a contact form, submit a rental application, request a maintenance service, or otherwise communicate with us. Rental applications may include additional information such as income, employment history, rental history, and Social Security number where required for screening purposes.
- Information collected automatically — such as your IP address, browser type, device information, pages viewed, and referring URL, collected through cookies and similar technologies (see Section 4 below).
- Information from third parties — such as background check or credit reporting results from screening providers we use to evaluate rental applications, where you have consented to such screening.
2. How We Use Your Information
We use the information we collect to:
- Respond to inquiries and provide customer service;
- Process rental applications, including coordinating tenant screening and background/credit checks;
- Manage leases, maintenance requests, and communications with current tenants and property owners;
- Operate, maintain, and improve the Site;
- Comply with legal obligations, including fair housing and tenant screening laws; and
- Send administrative or service-related communications (we do not send marketing emails unless you opt in).
3. How We Share Your Information
We do not sell your personal information. We may share information with:
- Service providers we use to operate our business, such as tenant screening/background check companies, payment processors, property management software providers, and IT hosting services;
- Property owners, where information is necessary to evaluate or manage a tenancy at their property;
- Legal and regulatory authorities, when required by subpoena, court order, or other legal process, or when necessary to protect our rights or the safety of others;
- Successors, in the event of a merger, acquisition, or sale of business assets.
4. Cookies and Tracking Technologies
The Site uses cookies and similar technologies (such as pixels and local storage) to:
- Keep the Site functioning properly (essential cookies);
- Understand how visitors use the Site through analytics tools (such as Google Analytics), so we can improve content and navigation;

We do not currently use cookies for third-party advertising or ad retargeting; if that changes, we will update this section and, where required by law, request your consent first.

6. Data Retention
We retain personal information for as long as necessary to fulfill the purposes described in this Policy, including the length of any tenancy plus a period afterward as required for legal, accounting, or dispute-resolution purposes, after which it is securely deleted or anonymized.

We use reasonable administrative, technical, and physical safeguards designed to protect your personal information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Children's Privacy
The Site is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us so we can delete it.

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Material changes will be posted on the Site.
